Effective July 22, 2026, Secure Share has a new, streamlined user interface. All existing Secure Share features work the same way they used to, and any documents available to you at the time of the upgrade remain accessible. This page serves as a quick reference guide to help you find familiar features in their new locations.


 

What’s Changed: Quick Reference

Recipient search

  • Previous interface had separate search fields for recipient first name, last name, PennKey, and Penn ID
  • New interface has a single combined search field—type a recipient’s name, PennKey, or Penn ID to find them

Renamed tabs

  • “Share documents” is now “Send”
  • “Receive documents” is now “Inbox”
  • “View sent history” is now “History”

  • Send(previously “Share documents”): Securely share documents with other users.
  • Inbox (previously “Receive documents”): Access files that others have shared with you.
  • History (previously “View sent history”): Review files you have previously sent.

 

Sending Files

Finding a Recipient

The previous separate fields for name, username, and ID number have been replaced by a single search field. Simply type the recipient's name, PennKey username, or Penn ID number to locate them.

Notes vs. Encrypted Message: What’s the Difference?

  • Notes: Use this field for general, non-sensitive information about the documents you’re sharing (e.g., instructions for the recipient, or a description of the attached files). Notes are sent unencrypted.
  • Encrypted Message: Use this field for sensitive text content that needs to be protected. Text entered here is sent as a separate encrypted file (.txt) along with your other documents.

Not sure which to use? If you wouldn't mind the text being visible in a standard email, Notes is appropriate. If the text itself is sensitive, use Encrypted Message.
